Hours: 32 hours per week

Rate of Pay: £34-37,000 pro-rata, depending on experience (plus uplifted onsite rates)

Start Date: Jan 2024

Employment Term: Permanent (3 month probationary)

About Team Love

We are one of the South-West’s leading event production companies, specialising in music festivals and events.  We co-programme and produce a number of our own large-scale events (Love Saves The Day, Love International, Simple Things, Waterworks and Forwards) as well as working on shows with other festivals and promoters. We also run our own venue, an established cornerstone of Bristol nightlife, The Love Inn.

 

About the Role

The Operations Manager holds responsibility for ensuring the smooth running of key event management operations across Team Love shows.

A solid oversight and understanding of all key Team Love events is required as is a collaborative approach to working with other departments within the company, our partners, stakeholders and suppliers.

Duties include monitoring and regular review of systems and procedures and reporting any issues to your Line Manager with proactive suggestions for solutions.

You will be the main Point of Contact for a number of our key suppliers, freelance event management team and council / blue light services, so it is vital that you maintain strong and positive working relationships with them all, ensuring that they have any information, updates or documentation required - communication is key.  As is a solid understanding of company policies and values in order to implement them through your own and other people’s work with Team Love

 

Key Responsibilities:

Pre Show:

  • Procurement and recruitment of Operational contractors and staff to include to include Security, Medics, Noise Mgmt Team, Traffic Mgmt, Fire Safety Team & Equipment, Welfare, Gates Team, safer spaces)

  • Management of Operations budget

  • Work with Traffic Management Company to compile Traffic Management Plans

  • Book in and co-ordinate freelance members of Event Management Team

  • Oversight of event safety, working with a H&S Advisor where necessary  

  • Emergency protocol planning

  • Writing, collating and updating Event Management plans

  • Collation of EMP Appendices

  • EMP and official documentation submissions to deadline

  • Creating and updating Council applications for all required shows

  • Licensing – Licence & permissions applications, liaison with Statutory Consultees and Safety Advisory Group (SAG) 

  • Planning permission

  • Event contracting and insurance policies

  • Resident & Stakeholder management

  • Coordination and Attendance at SAG meetings

  • Responsibility for Site Permission aspects to include coordinating meetings/communications to drive planning forward

  • Local Authority and Blue Light Agency liaison.

  • Coordination and attendance of pre-show Tabletop (for Bristol events)

  • Developing strategies, systems and processes and coordinating training / workshop sessions to strengthen Event Control and Ops Management at Team Love events

  • Collate and feed operations data into debrief document for every event

 

Onsite: 

  • Live day Silver Command

  •  Coordination of ELT meets

  • Monitoring / evaluating event operations across site  and troubleshooting any issues in coordination with Event Control / Management Team

  • Onsite briefings for all booked services on arrival to site

  • Onsite Council & SAG liaison

  • Communicating operational event changes to all relevant departs 

  • Overseeing safe and smooth running of event

The successful candidate must be able to commit to working on site for all of our UK events between May and September.  This will be approximately 4-6 weeks per year (exact dates will be agreed and confirmed in early 2024).

Essential Skills and Experience:

Demonstrable significant festival manager / operations experience 

Experience in writing Event management plans

Experience of managing event Health & Safety and creating risk assessments 

Security and Medical scheduling experience

Experience of working with SAG and Local Authorities

External Stakeholder relationship management experience

Excellent IT literacy including Excel, Word, Dropbox and Google Drive 

Excellent communication skills 

Desirable Skills and Experience:

Contracting experience

Experience in putting event insurance policies in place

Driving License 

First Aid Certificate

Health & Safety Qualification (such as IOSH) 

Experience of managing project budgets on target

This role is a mixture of office based, and on site work at our events, with desk work, and some physically active work, involving some moving and lifting, required in both settings. A number of our events take place on greenfield sites and the role requires someone to move around independently and extensively.
